Advia Privacy Policy

Version 1.0 — effective upon acceptance.

This policy explains what Advia Inc. ("Advia") collects, why, who sees it, and the choices you have. It applies to everyone using the Advia portal and to every client organization Advia serves.

1. What we collect

  • People on an account: name, email address, phone number, and an optional profile photo.
  • Client organizations: billed name, billing contact and address, payment terms, and communication preferences.
  • Doing the work: listing addresses and coordinates, the GPS locations of installed signs, crew photos of installations, order history, sign inventory counts, service requests, and invoices.
  • Using the portal: sign-in records and the actions taken on your account.

2. Why we collect it

  • To schedule, route, and perform sign services.
  • To bill for them and keep accurate financial records.
  • To communicate with you about orders, collections, and invoices.
  • To keep the operational record — where every sign went and what came back.
  • To improve how Advia plans coverage and routes — placement and traffic data is analyzed internally so sign positioning gets better over time.

We do not use your information for anything else.

3. Who sees it

  • Advia's field crew sees only what a job requires: addresses, sign locations, and placement instructions. Crew never see billing information or account details.
  • Service providers process data on Advia's behalf: application hosting (Vercel), database (Supabase), email delivery (Resend), mapping (Mapbox), and card payments (Stripe, for prepaid accounts). Each receives only what its function needs.
  • Nobody else. Advia does not sell personal information and does not share it with third parties for their marketing.

4. Messages we send

Messages about your orders, collections, reports, and invoices are part of the service. Marketing messages are sent only with your consent, and that consent can be withdrawn at any time in line with Canada's anti-spam legislation (CASL).

5. Retention

  • Account and operational records are kept while your account is active.
  • Financial records — orders, invoices, payments — are kept at least seven years, as Canadian tax law requires.
  • When an account closes, records not required by law are deleted or anonymized within a reasonable period.

6. Your choices and rights

  • Review and correct your own information in your portal profile at any time.
  • Ask Advia what personal information it holds about you, request a correction, or request deletion of information not required for legal or financial records.
  • Withdraw marketing consent at any time.

7. Security

Data is encrypted in transit, stored with access controls, and visible inside Advia only by role — the same rule that keeps billing away from the field crew applies throughout.

8. Changes to this policy

Advia may update this policy. For minor changes, Advia notifies you and your continued use of the services is acceptance. For material changes to what is collected or who sees it, you will be asked to review and accept in your portal. The version you accepted, or were notified of, remains the record.
